In accordance with the new obligations regarding the protection of personal information (Act to modernize legislative provisions respecting the protection of personal information in the private sector, also known as Law 25), we hereby provide you with our privacy policy.
PRIVACY AND CONFIDENTIALITY POLICY OF PERSONAL INFORMATION
The protection of your personal information is important to 3 Sphères Assurance and security measures are taken to protect users against the loss or unauthorized use of their personal information.
Your right to privacy
In order to protect the confidentiality of personal information communicated to us, 3 Sphères Assurance has adopted a “Policy on the protection of personal information”, the application of which has been entrusted to a person who ensures that the provisions of this policy are strictly respected. 3 Sphères Assurance has adopted a Privacy Policy. The purpose of this policy is to ensure the protection of this information, and to ensure that its use respects not only your rights, but also the highest standards of ethics and integrity.

3 Sphères Assurance is committed to protecting your personal information. This Privacy Policy is intended to inform you about how we collect, use and disclose your personal information. This Statement complies with Canadian legislative requirements, industry standards and privacy rules
Protecting your rights
3 Sphères Assurance shall put in place reasonable and adequate security measures regarding the confidential nature of the information it holds, to protect it against loss or theft, as well as against use, unauthorized disclosure, duplication or modification. Only authorized employees and third parties will have access to personal information in the context of the performance of their professional mandates, although such access is granted selectively “when absolutely necessary” and in accordance with this Agreement. 3 Sphères Assurance assumes no responsibility for the possible interception, modification or inappropriate use of information transmitted to us via the Internet or misdirected by mail.
Within 3 Sphères Assurance, only certain employees have access, in the course of their work, to the personal information that is disclosed to us. When reviewing, using or disclosing such information, such employees must at all times comply with the provisions of our Privacy Policy. If certain personal information must be entrusted to third parties for processing purposes, 3 Sphères Assurance ensures that they continue to benefit from all the protection required; these third parties are therefore bound by our aforementioned policy.
What is personal information?
Any personally identifiable information is obviously personal information. For example, it could be your name, email or postal address, phone number, your date of birth or any other explicit information that would be requested of you in connection with the issuance of insurance coverage or in connection with an investigation into a claim. However, this protection is not limited to this information and also extends to other information provided to us. Isolated information that could not be explicitly linked to your identity will not be considered personal information.
How is this personal information protected
We protect the personal information that is shared with us by ensuring that only duly authorized individuals have access to it. We ensure that these individuals are fully trained in the handling of this information and fully adhere to our privacy policy. Our responsibility in this regard also extends to the protection of our computer systems. Thus, very strict security measures have been put in place, including hardware and administrative protection, as well as constantly updated software. In addition, these measures are subject to periodic internal audits and independent audits.
What purposes is this personal information collected?
When you send us an insurance proposal, it necessarily contains several personal information which we will use to decide whether or not to accept the coverage you have applied for. In the course of our activities, the personal information disclosed to us may therefore have several different uses. Only the necessary information will be collected, and it will be kept only as long as necessary to fulfill the purposes you have specified.
Disclosure to Third Parties
From time-to-time and as needed, 3 Sphères Assurance may disclose your personal information to service providers that perform services on our behalf, for example insurance brokers, insurance agents, reinsurers, information technology, mailing providers, appraisers, data processing, private investigators, adjusters and lawyers, or similar service providers.
3 Sphères Assurance may disclose personal information as necessary to meet legal, regulatory, insurance, audit and security requirements and as otherwise with your consent or as permitted or required by law.
Sharing personal information with others
3 Sphères Assurance does not disclose any personal information about you to third parties except as described below or as required or permitted by law.
Disclosure Outside of Canada
Personal information may be collected, used, disclosed, transferred, stored or processed outside of Canada for the purposes described in this Statement, and may be subject to legal requirements in foreign countries applicable to us or the third parties described above, for example lawful requirements to disclose personal information to government authorities outside of Canada.
If I’m not satisfied, can I file a complaint?
3 Sphères Assurance is committed to ensuring the quality of its customer relations and has put in place effective mechanisms for handling complaints related to the management of personal information provided to us. Therefore, if you wish to share your comments, concerns or, for any reason, dissatisfaction with the management of your personal information, you may submit a written complaint to us. This written complaint should be sent to our head office and addressed to the person responsible for the protection of personal information, who will then contact you to inform you of the mechanisms that will govern the handling of your complaint.
Retention and Destruction
3 Sphères Assurance will only retain your personal information for as long as we have a relationship with you or as required by law. Once the retention period expires, your personal information will be destroyed, made anonymous, and or archived to a secure site.
Access to your information
Upon written request and upon confirmation of your identity, you may request a copy of the personal information we have on hand at any time. 3 Sphères Assurance will respond to all requests within 30 days. If an extension is required, we will inform you accordingly. Where a request for disclosure is denied, we will provide you with an explanation for the denial.
3 Sphères Assurance makes every reasonable effort to keep your information accurate and up to date. If you believe that our information is incomplete or needs updating, please contact us and we will work with you to make the necessary updates.
Your right to access or to change personal information may be subject to legal requirements
Updates to our Privacy Statement
3 Sphères Assurance reserves the right to modify this Statement at any time. If there is any significant updates to this Statement, 3 Sphères Assurance will post a notice of the change on its Web site. You are encouraged to regularly review the Statement for changes. If we intend to use or disclose personal information for purposes materially different than those described in this Statement, we will make reasonable efforts to notify affected individuals.
